2018 Exhibit Space Is Closed

This is a biennial two-day conference held in Boise, Idaho, at The Riverside Hotel, to provide professional development opportunities that rival and/or exceed national conference standards for quality presentations and workshops. Among the 400+ attendees at the conference will be early childhood educators, healthcare professionals, social service providers, caregivers, early mental health practitioners, and early childhood advocates.

Exhibit Opportunity:

This opportunity is open to both profit and non-profit organizations to display and promote their products and services. The Early Years ’18 conference is a great opportunity for companies and organizations in the early care and education field to reach decision makers in a setting that facilitates dialogue and networking.


Would My Product/Service Be a Good Fit?

Early Years provides the platform for experts in the following five areas to address “what’s new and what’s working” to help children ages birth to eight and their families:
  • Building Family Strengths:  Identifies and supports the unique and specialized needs of children and their families.
  • Health/Safety and Well-Being:  Emphasizes the importance of supporting and nurturing young children, including safety issues, child abuse and neglect, prevention, and intervention. 
  • Early Care and Learning:  Focuses on early child development, research, and educational practices that enable infants and young children to reach their maximum potential.
  • Program/Professional Development:  Highlights program models and best practices to enhance professional work with young children and families. 
  • Infant/Early Child Mental Health:  Centers on the social and emotional development of children from birth through age five and their families, including key issues, relationships, risks, and best practice interventions.

Selection Criteria:

The vendor selection committee strives to provide attendees with access to a variety of services/products. Exhibit space is assigned on a first come, first served basis to create a diverse exhibit. The Early Years Conference reserves the right to reject a potential vendor on the grounds of questionable business practices or conflicting missions. Vendors will not be allowed to exhibit if the full payment has not been received prior to move-in.

Cost:

Profit organizations  $250/table 
Nonprofit organizations          $150/table
 

Exhibit Fee Includes:

  • One six-foot table and tablecloth
  • Optional power outlet (upon request)
  • Two chairs
  • One buffet breakfast and one lunch each day (for up to two personnel)

Payment:

Payment is due at the time of registration. Exhibitors who utilize the Purchase Order option will be invoiced, with payment due on or before July 31, 2018. If full payment is not received by the due date, exhibit space will be forfeited.

Important Information for Vendor Exhibitors


Hotel Location:

The Riverside Hotel is located at 2900 Chinden Boulevard, Boise, ID 83714.

Exhibit Location:

Vendor exhibits will be assigned. Exhibit space will be located in the Fireplace Foyer or in the back of the ballroom. Exhibits provide central exposure with ample time for attendees to circulate during the conference.

Exhibit Guidelines:

As a vendor at the conference you may give away, demonstrate, take orders for future delivery, and yes, you may sell merchandise/services. We encourage demonstrations and/or hands-on activities. Member organizations may register as a vendor and use this time to recruit new members.


Door Prizes:

If you are providing a door prize, we will collect it when you check in. If you are providing a membership, or door prize that is not a physical item, please provide a certificate that we may present to the winner. In addition, please include your organization name or business card on your door prize.

Vendor Displays:

Displays must remain up until the final session closes on Thursday, October 25, 2018 around 4:30 p.m. 


Power Outlet:

If you requested power on your registration form, please label and bring your own extension cord. We will make sure you are set up by a wall outlet or surge protector.

Wifi:

Free WiFi will be available through The Riverside Hotel guest account. No password necessary.

Shipping & Receiving:

The hotel allows receiving of materials to the hotel at no charge, up to 100 pounds. After that maximum weight is reached, charges incur. Vendors are responsible for shipping their own materials from the hotel; the hotel will store items at no charge.

Loading/Unloading:

The east entrance to the convention center will serve as your loading/unloading access. We ask that you move your automobile after loading/unloading.

Parking:

Free parking is available onsite.

Check-In: 

Please check in at the registration table when you arrive to receive your space assignment. The registration table is located in the east entrance lobby. An Early Years conference staff member will be at the ready to help you find your table.

Liability: 

You are responsible for your own display, staffing, and materials. The Riverside Hotel and Early Years staff cannot ensure the security of your materials. You may wish to remove valuable items overnight. While there will be a storage room where you can put your materials between days, space is limited. You may choose to stash non-valuables under your tables.

Hotel Reservation and Travel Expenses:

All arrangements and travel-related expenses to attend the conference are the sole responsibility of the exhibitor.

In addition to four breaks spaced throughout each day, you will have the following additional time to interact with conference attendees.

12:15 PM - 1:30 PM NEW! An Idaho Resource lunch program. Following a half-hour Idaho Community Resources presentation, attendees will be able to network with you!
